We are looking for a
Office Manager & HR Assistant to join our central
Porto based team, to oversee HR processes and
office management. This
Part-Time role serves as a key point of contact between staff, HR Team, Finance Team and external stakeholders, ensuring smooth operations across all areas in
Porto offices.
General Responsibilities.
Office & Facilities Management
• Manage budgets and office-related expenses.
• Purchase
office supplies every 2-3 weeks and oversee inventory.
• Organise team-building activities events.
• Conduct annual health and safety checks, ensuring compliance.
• Manage suppliers, vendor contracts, and service agreements.
• Oversee
office maintenance and coordinate technical fixes.
Human Resources
• Oversee the recruitment and onboarding process for new hires.
• Coordinate staff training and development initiatives.
• Schedule and monitor Health Assessments for employees.
• Ensure compliance with labour laws and company policies.
• Liaise with 3rd parties regarding employee changes, new joiners, and leavers.
• Act as the main HR contact for employees in Porto, addressing queries and concerns and liaise with our HR Department.
Accounts & Payroll
• Collaborate with our local Accountant and our Finance Department to address recurring issues, legal updates, and financial inquiries.
• Manage and share invoices on a monthly basis for
Porto office related.
• Act as the main liaison between the Accounts Department and staff.
Requirements.
• Previous experience in
office management, HR or a similar role.
• All legal requirements to work in
Portugal .
• Strong knowledge of Portuguese labour laws and HR best practices.
• Excellent organisational and multitasking abilities.
• Strong communication skills and ability to liaise with multiple stakeholders.
• Problem-solving mindset and ability to handle office-related issues efficiently.
• Fluency in Portuguese and English.
